8 Must-Use Creative Reports

In Part 3 of our RQ Reporting Tips series, we'll share creative ways to customize RQ reports to best suit the way you run your business.

1. Cashout Summary Report: Cash audit report

Create it: a.) Run the Cashout Summary Report
                b.) Filter for Payment Type Cash

Use it: Provides a way to compare the System Total (the amount RQ expects) to Your Total (the recorded cash amount). This is a great way to monitor high cash sales quickly and ensure the transaction was handled properly.

2. Invoice Summary Report: Negative GP invoices

Create it: a.) Run the Invoice Summary Report
                b.) Open the customization options
                c.) Filter the GP column for  cases where GP is less than 0
                d.) Apply a red color to these rows so they stand out easily 

Use it: This is a helpful report for monitoring invoices which are not making you money and identify the person responsible for them.

3. Inventory Listing: 0 inventory on hand (stock-outs)

Create it: a.) Run the Inventory Listing Report
                 b.) Filter for the phone category
                 c.) Run for "With 0" quantity
                 d.) Save a custom view

Use it: A saved, filtered view of the Inventory Listing report for "0 Quantity Items" identifies current stock-outs. When viewed by phone category, this offers a helpful tool for pinpointing device ordering needs to ensure sales are not lost due to lack of inventory.

4. Back Order Listing Report: Back order history by vendor

Create it: a.) Run Back Order Listing report for desired range of days
                b.) Choose a vendor you order from
                c.) Group by description
                d.) Save as a custom report

Use it: Isolating items by vendor over a range of days is a way to manage the history around how many times a particular product is ending up on back order. The report does this by grouping by PO.

5. Activation Gross Profit: GP/Device

Create it: a.) Run the Activation GP report
                b.) Group by phone
                c.) Sort by profit

Use it: This report will provide insight into overall profitability. It points out, right away, any anomaly in discounting or other transactional expectations.

6. Sales by Invoice: Emailed invoices

Create it: a.) Run the Sales by Invoice report
                b.) Scroll over to the Emailed column
                c.) Select Emailed "True"
                d.) Save custom report view invoices emailed at Tender

Use it: Going green and paperless? Use this report to start tracking how many invoices have been emailed to the customer. Asking to email the invoice to the customer is a great way to collect email addresses and follow up post-sale.

7. Product Detail: Invoices sold without customer information

Create it: a.) Run the Product Detail report
                b.) Right click on column header
                c.) Remove any columns you don't want to see 
                d.) Open the live search column using the magnifying glass
                e.) Type "Quick" as a key word on the customer name column

Use it: Customer details should be collected with each transaction as every sale presents an opportunity for follow up. Consider also grouping the report by employee as well. Suggested columns you may want to remove from this report include: Sold by; Invoice #; Invoice By; Customer Product; Tracking # and Gross Profit.

8. Commission Detail: Commission audit

Create it: a.) Run the Commission Detail report
                b.) Filter for "Yes" and enter criteria for Rate 1 and Rate 2
                c.) Enter in the amount that makes the most sense for you

Use it: RQ offers a way to split commissions on an invoice which can be a great way for employees to collaborate on overall store performance. Filtering by commissions splits provides a way to monitor potential commission split fraud where one employee may be sharing commission with another to help them make plan. Commission splitting can also be turned off in the default settings in RQ.
